Digital Stamp turns a PDF, PNG, or JPEG into a stamped PDF showing the institution, signed-in staff member, staff position, sighted date, and searchable reference. It is a record-keeping workflow, not a publicly verifiable credential or a determination that a document is genuine.

How Digital Stamp (Original Sighted) helps provider teams

  • Accept PDF, PNG, and JPEG files up to 12 MB; choose a document type and sighted date.
  • Place the mark in any corner and choose horizontal or vertical text; preview, redo, and download the stamped PDF.
  • Source and stamped files are temporary and are not retained by AQF Verify; transaction metadata and audit events are retained.

How it works

  1. Choose the document: Upload a PDF, PNG, or JPEG up to 12 MB. Select Student application, Enrolment form, Identity document, Transcript, or Other supporting document.
  2. Set the stamp details: Confirm the signed-in staff member's name, enter your position, set the sighted date, and choose the text orientation and corner placement.
  3. Preview, save, and clear: Apply the stamp, check the preview, and download the PDF. Confirm that you saved it to your institution's records before choosing Confirm & Discard. AQF Verify retains transaction metadata and audit events, not the source or stamped file.

Common questions about Digital Stamp (Original Sighted)

What does Original Sighted mean?

It records that an authorised staff member marked the supplied document as sighted on the selected date. It does not verify or certify the document's authenticity, academic status, or compliance.

Does AQF Verify store uploaded or stamped files?

No. Source and stamped files are processed temporarily in memory and are not retained by AQF Verify. The system keeps limited transaction metadata and audit history; your institution is responsible for saving its own copy before confirming discard.

Who can use Digital Stamp?

An authenticated Institution Administrator or Institution User can use it when Digital Stamp is enabled for the institution.
